Cookies, Google Ads and analytics

We advertise with Google Ads and use the Google tag to measure which ads lead to an enquiry or a phone call. On your first visit a bar at the bottom of the page says: "We use Google tools to measure our ads and to see how the site is used. Accept, or keep only what the site needs." It has two buttons:

• Only essential: Google's tools run with advertising and analytics storage switched off (Google Consent Mode). No advertising or analytics cookies are set. Google may still receive a basic signal without cookies or identifiers when an enquiry or phone link is clicked, which it uses only for aggregated, modelled conversion counts.
• Accept: Google Ads may set cookies (for example _gcl_au) that link a click on one of our ads to an enquiry click or a phone call on this site, and Google Analytics sets cookies (_ga) to count visits and see how the site is used.

Either way, the Google tag script loads from Google's servers, so Google receives your IP address and browser details. Your choice is kept in your browser's local storage so the bar does not appear again. You can change it at any time; choosing "Only essential" also removes Google cookies already set on this site.

Google Ireland Limited provides Google Ads and Google Analytics and processes this data for us. See how Google uses information from sites that use its services (opens in a new tab), Google's privacy policy (opens in a new tab), and turn off personalised ads in My Ad Center (opens in a new tab). Our Google tag also sends visit statistics to Google Analytics, provided by Google Ireland Limited; with "Only essential" it receives no cookies or identifiers. You can also block Google Analytics with Google's opt-out browser add-on (opens in a new tab).

Fee calculator

The fee calculator runs entirely in your browser. The date of birth and subsidy rate you enter are not sent to us or to anyone else. To avoid counting the same visit twice, your browser keeps a temporary note that the calculator was used, which is deleted when you close the tab.

Enquiry form (Famly)

Our enquiry form is provided by Famly, the childcare management platform we use. When you fill it in, the details you give (such as your name, contact details, your child's name, date of birth and preferred start date) are stored by Famly on our behalf as a data processor, and used only to reply to your enquiry and manage a place for your child. Families who enrol also use the Famly parent app, which holds the records described in the parents' notice below.

Google Maps

The contact section shows a map placeholder. The map itself is not loaded from Google unless you click "Show Google Map" or "Get directions". When you do, Google receives your IP address and browser details, and Google's own privacy policy applies.

Email, phone and social media

If you email or call us, we use your details only to respond. The link to Facebook takes you to that service, which has its own privacy policy.

Your personal data: what the service needs

We will only use personal information about you and your child to provide the services you have requested from us and administer your account.

We collect a variety of personal data to be able to deliver the service requested by you. Most of this data is captured on an enrolment form or on the forms required to obtain government funded fees or fee subsidisation (where applicable).

The enrolment form includes your name, address, details of your child including date of birth plus further detail on any specific medical and other relevant health-care details, and history necessary to allow us to ensure the welfare and safety of your child. Because of the sensitive nature of much of this information, you will be asked to confirm your consent for us to collect and hold the information before we do so.

In addition, the service will, at your request and again with your consent, gather additional information on your nationality, religion and ethnic origin, if you believe this to be an important factor in providing the appropriate care and support for your child.

The enrolment form also collects the contact details and phone numbers of your child's emergency contacts and authorised collectors. You are required to ensure these persons agree to their information being stored and you will be asked to confirm this on the enrolment form.

The funding forms may collect personal data including your PPS number and your social welfare status. This is only collected to allow us to process funding applications (such as ECCE, AIM and the National Childcare Scheme) on your behalf, so you can access subsidies, supports or free care and education for your child where eligible.

Why the service needs data

The service needs your basic personal data to provide you with its services in line with our contract with you. The service will not collect any personal data from you that it does not need to provide and oversee this service.

What the service does with data

All personal data is processed by management or by staff designated by management. To deliver our services effectively, we may need to exchange your details with:

• relevant funding bodies, such as the Department responsible for early learning and childcare, Pobal and the City and County Childcare Committees
• regulators, such as Tusla, the Revenue Commissioners and the Workplace Relations Commission
• inspectors (Tusla, the Department of Education and the Health and Safety Authority)
• external personnel such as payroll and HR contractors, accountants and professional advisers
• Famly, which provides our parent app and records system as a data processor

No other third parties have access to your personal data unless the law allows them to do so. The service has a Data Protection Policy in place to oversee the effective and secure processing of your personal data.

How long the service keeps data

The service will keep your and your child's personal data for as long as your child remains within the service, and for the period afterwards required by the relevant statutory and legislative guidelines that apply. More information on our retention policies is available from the Manager.

Your personal data: what the service needs

We will only use your personal information to process your application for employment and to manage your ongoing contract of employment with the service if you are successful.

The service collects a range of personal data about staff, applicants for job roles, students and associates. This is to establish that you are competent and appropriately qualified to work, or to have work experience, in the Early Childhood Care and Education environment. This includes your name, date of birth, address, details of your next of kin, official photo identification, your PPS number, and information necessary for Garda vetting and police check purposes. In addition, with your consent, we will collect further medical and health details and other information relevant to the type of work you will be involved in.

Job applicants will provide the above data except for date of birth, details of next of kin, PPS number, official ID, health details and Garda vetting. This information is only sought from successful applicants. Students and associates will provide the above data except for date of birth, PPS number and health details.

Why the service needs data

We need your personal data to ensure that you are qualified and able to work with and provide safe care and education to children, and to be able to employ you in this capacity. The service will not collect any personal data from you that it does not need to provide and oversee your ongoing employment.

What the service does with data

All personal data is processed by authorised persons (management or those designated by management). To run our business and deliver a service, we may need to share your details with the funding bodies, regulators, inspectors and external personnel listed in the parents' notice above. No other third parties have access to your personal data unless the law allows them to do so.

How long the service keeps data

The service will keep your basic personal data for as long as you remain an employee, and where necessary will continue to hold information on former employees for legal and administrative purposes. Completed application forms for unsuccessful candidates are disposed of after six months.

Your rights and how to contact us

You can ask to see the information we hold about you, and we will respond within 30 days of receiving your request. If you believe any information we hold is incorrect, you can ask us to correct it. You can also ask us to delete data we no longer need, or raise a complaint about how we have handled your personal data.
